U.S. Minority Business Development Agency (MBDA)

When a federal agency needed to host its first-ever virtual conference, we delivered an interactive experience that celebrated the attendees’ achievements and cultivated connections.

Talk about a good turnout! MBDA expected anticipated 1,500 registrations, and the virtual conference received over 6,500 unique users.

The U.S. Department of Commerce, Minority Business Development Agency (MBDA) is the only federal agency solely dedicated to the growth and global competitiveness of minority business enterprises. Their programs offer customized business development and industry-focused services to provide greater access to capital, contracts, and markets.

Talk about a good turnout! MBDA expected anticipated 1,500 registrations, and the virtual conference received over 6,500 unique users.

Due to COVID-19, MBDA decided to host their annual MED Week conference virtually. This conference celebrates the outstanding achievements of minority entrepreneurs and enables them to share their empowering stories with attendees. Requirements included:

  • Host a content-rich event with meetings over five days.
  • Deliver a branded, custom, interactive experience in 22 days.
  • Provide comprehensive pre-event planning, including event production strategy, environmental and graphic design, management, and complete technical production.
  • Provide end-to-end event support, including high-quality streaming and technical production management for live keynotes and presentations, with show production to play pre-recorded “flypack sessions” (COVID-safe technical recording packs, with speakers guided remotely by our team and individual technology assessment).
  • Deliver in depth post-event analytics, from registration to measurement and a post-show analysis report.
  • Customize the virtual lobby, landing pages, and auditorium.

With our production partner, Virtual Creative Studios (VCS), Novak Birch planned, designed, and hosted a five-day virtual conference. No software downloads were necessary. Highlights included:

  • The event offered custom branded spaces for all pre-recorded speakers and live speakers, including the background on the main stage and the look-and-feel of every room, such as the seating and audience areas.
  • We designed and produced a registration platform that included an autofill registration form that was downloaded from the event website or part of the email invitation. It automatically notified the attendee with an email, along with the host.
  • We used green screen technology to provide in-studio, pre-recorded content with custom backgrounds and surroundings.
  • We facilitated the conference, coordinating with VCS to offer a seamless experience for MBDA. A team of logistical/event coordination specialists and project managers familiar with MBDA oversaw the event strategy.
  • Our hands-on team monitored all technology and systems to ensure high-quality streaming and technical production management for live keynotes and presentations.
  • From registration to measurement and post-show reporting, we provided MBDA with complete post-event analysis.
  • One of 30 templates was custom branded for the lobby, information desk, conference arena/stage, attendees, and signage. We developed touch points for an interactive experience.
  • We delivered flypacks to each presenter so they could pre-record their content, enhancing attendees’ experience of the “live” event.
  • We coordinated and planned real-time engagement, with a live help desk, Q&A, and interactive “help” chat.
  • We provided comprehensive pre-testing, rehearsals, and troubleshooting for each facet of the experience.
  • We developed the branding and social media graphics for MBDA’s inaugural Buy MBE Day, which launched after the last day of the conference and was promoted throughout MED Week.
