Senior Event Manager

Novak Birch plans and delivers in-person, virtual, and hybrid event and trade show experiences for clients across
diverse industries, including federal government, healthcare, travel/tourism, and more. As we grow, we’re looking for
an experienced event manager to join our talented team.

Responsibilities

  • Lead the planning and execution of all assigned events, at any scale (virtual, hybrid, and in-person), webinars, conferences, trade shows, and meetings for our clients, who range from government agencies and commercial organizations to associations. 
  • You’ll bring leadership and guidance to team members across all Departments, including Account Management, Communication, Design, Exhibit Fabricators, and more to plan and execute events.
  • Conceptualize and lead strategic events, ensuring every aspect of the event is aligned with the client’s overall event objective.
  • Develop event and trade show strategies and tactics for growth with the leadership team. Actively involved in new business development including collaborating on RFP responses and new business opportunities.
  • Daily interface with client on assigned events. 
  • Oversee and manage event project plan/timelines for assigned clients.
  • Manage client webinars/virtual events using Zoom and other event platforms, ensuring that they are seamlessly delivered. This includes securing, building, and managing the virtual platform. 
  • May require speaker management to include speaker communications, timelines establishment, data collection, and speaker travel/registration management. Oversee all logistical needs for clients and events, such as preparing quotes and PO’s, managing F&B, room block, site visits, securing travel accommodations, and managing event specifications.
  • May require sponsor/exhibitor fulfillment duties including exhibitor/sponsor communications, general services contractor and floor plan management.
  • Collaborate with the Account Management Team in developing internal event project schedules/calendar of events and priorities, communicating them to the team, and maintaining them.
  • Oversee the creative process and coordinate content, graphic development, and production of all program collateral (i.e., agenda, programs) and signage. 
  • Proactively bring new ideas and improved processes to the team to streamline internal team operations and enhance client experience.
  • On-site lead at events and travel, as required. 
  • Serve as direct supervisor for events managers/specialists/coordinators.
  • Coordinate data collection and tracking of priority campaigns and initiatives for ongoing evaluation of performance for continuous improvement. 
  • Create and maintain analytics/metrics reports on campaign engagement, effectiveness, and business impact.
  • Create and manage event budgets, invoicing, schedules of payments. Present forward-thinking and cost-effective approaches.

Required Qualifications

  • At least 8-10 years of experience successfully managing live, virtual and hybrid events, including trade shows. Focus and experience in an agency or corporate environment a plus.
  • Minimum of 3-4 years of direct client management.
  • Digital event platform experience.(Cvent and Cvent app a plus)
  • Excellent written and oral communication skills.
  • Exceptional negotiation and budget management skills.
  • Exceptional project management, time management, and organizational skills. 
  • Detail-oriented with the ability to multi-task and prioritize multiple deadline-driven projects.
  • Must work well individually and as part of a collaborative team in a fast-paced, client-centric environment.
  • Proficiency in Microsoft Word, PowerPoint, and Excel, at a minimum.
  • Expert level understanding of event management scope and ability to lead planning process.
  • Strong work ethic and drive—the ability to go the extra mile and work a flexible schedule and/or extended hours to meet the client’s goals.
  • Calm and flexible approach to handling the stress of everchanging demands.
  • The ability to take direction from others and provide constructive criticism.

Preferred Qualifications

  • Bachelor’s Degree in Marketing, Event/Hospitality, Communications or Public Relations.
  • Experience with or knowledge of government protocols regarding contracting, events, and travel.
  • Experience working with Cvent and Zoom platforms.

Required Travel: This position requires travel up to 30%.
